As part of the interventions aimed at corporate well-being, the Camera di commercio di Milano Monza Brianza Lodi started the Smart working among its employees becoming one of the first administrations to adopt this new managerial tool. The experience is has proved successful. On the one hand, the Smart Working allowed to undertake the commitment of the employees spreading a new organizational philosophy aimed at the work balance of life, autonomy and responsibility on the results from a logic focused on the quantity of work to one on the quality of work and on the objectives. On the other hand, Smart Working has facilitated the rationalization and full use of the elements of mobility management and facility management. The project involves 100 employees (about 25%). The phases in which the project was implemented were the following:


- creation of a fertile ground for the implementation and structuring of the project in line with the organizational reality of the Entity thanks to the contribution of the Directorate of the Personnel organization and general affairs department which brought innovation and advantages to the attention of top management of this tool and of the staff structures involved and of the CUG that have made this new mode known. The logic adopted was that of participatory management;


- preparation of a budget for the realization of the project for the purchase of portable PCs, Internet keys, business mobile phones and VPN accesses. On the basis of the interest found and the maximum budget availability, a plan was prepared to purchase equipment that smart workers could use in their smart days (PCs, mobile phones, Internet keys). Since the number of equipment provided by the Entity were, for reasons of cost containment, less than the number of smart workers involved in the project, the possibility was provided, for those who wanted it, to also use their own private equipment. The equipment provided by the organization could be booked by colleagues on the Intranet in the specific Smart Working section.


In addition, to ensure the security of the data of the Entity (especially in the case of use of its own equipment) all the smart workers involved in the experimentation were equipped with a personalized VPN access and a connection in Virtual Desktop. In this way employees could, by working outside the company premises, have direct access to their desktop PC and to their shared folders just as if they were in the office.

The applications received through the specific form on the Intranet were examined by the managers / managers of the resources who then had to give the final approval, taking into account the activity carried out by the colleagues. Almost all the applications received were accepted and therefore entered the project;


- implementation of new organizational policies


Guidelines on the Smart Working have been drawn up and made available on the Intranet that concerned different points of the project from the purpose to the practical use of the days. Each smart worker has the option of using up to three non-consecutive days per month;


- start of the project


Before starting the project, an ad hoc pact was signed to all smart workers in which, on a purely illustrative level, the type of activities that would have been involved during the smart days were indicated. In addition, the places where they planned to carry out their activities were indicated in the agreement, again by way of example. The pact was sent through a special form to the Ministry of Labor and Social Policies so as to allow workers the maximum protection for any accidents.


With a view to safety, a specific safety course was implemented in accordance with the figure of the RSPP to inform / train smart workers on the measures necessary to prevent future illnesses / injuries (eg posture, place of activities, etc.) . At the end of the course each participant received an information valid also as a certificate of participation.


Finally, on the sidelines of the safety course, a specific presentation of the project was made with all the most practical aspects connected to it (eg justifications, etc.).

Currently the project is up and running. Annual follow ups are planned.
